- Real availability: a full slot is never shown; double booking is prevented by design.
- Capacity and rules: service duration, buffer time, how many people/tables/rooms at once, last-minute booking limits.
- Deposit or prepayment: the single feature that cuts no-show losses the most. Collected by card through a payment gateway integration.
- Automatic notifications: confirmation email/SMS on booking, a reminder the day before. Reminders visibly reduce no-shows.
- Cancel and reschedule link: let customers cancel themselves so the slot can be sold again.
- Panel and reports: occupancy rate, busiest hours, cancellation rate, performance per staff member.
- Mobile first: most bookings come from a phone; the flow should finish one-handed, in three steps.
Ready-made platform or your own system?
Ready-made booking platforms get you started fast, but they cost you three things: a commission per booking, no control over the flow, and most importantly the customer data isn't yours. How long does it take to build?
A standard appointment flow (one location, a few services, no payment) usually goes live in a few weeks. Multiple branches, per-staff rules, deposits and channel sync extend that — at which point the job becomes custom software.
